10868: Questions After Running a Conversion Program

I have run the conversion program, but I have some questions about the results.

In the below FAQs, YY refers to the current year software, XX refers to the prior year software, and UU refers to the year before XX. For example, when Drake23 is the current year, YY is 23, XX is 22, and UU is 21. If converting files from previous years, substitute the applicable year numbers below as the steps remain the same.  

Q1: How can I determine if the conversion from my old tax software to Drake Tax was successful?

A1: You have three alternatives to confirm the conversion. If the conversion was not successful, you should run the conversion program again. If it fails a second time, contact Drake Software Conversions Support at (828) 349-5546.

  1. If the DrakeXX software is installed, repair index files (go to the Tools menu, click Repair Index Files, and select to repair all) and view the converted returns in the DrakeXX program.
  2. Bring the converted 20XX data forward into DrakeYY (Last Year Data > Update 20XX to 20YY) and view the files in the DrakeYY program.
  3. Go directly to the DrakeXX folder and compare the number of converted files with the number you attempted to convert:
    1. Go to My Computer and open the drive containing the DrakeXX folder.
    2. Locate and open the DrakeXX folder. Locate and right click the DT folder.
    3. On the DT folder drop list, click Properties. Click the General tab.
    4. On the General tab, next to Contains you will see the number of files and folders (on some older systems, you may have to highlight Contains to display the numbers).
  4. If the number of files is the same or close to the number of files you tried to convert, then the conversion was successful.

Q2: I have DrakeXX installed. How can I view my converted client files there?

A2: If you have installed the DrakeXX tax software, you can open and view the converted returns in DrakeXX. Do this:

  1. First repair index files. Go to Tools > Repair Index Files, select Repair All and click Continue; on the next screen, select Replace Current Index – Scan Client Files and Add Names, and click OK.
  2. Open the client files by going to File > Open/Create Returns.

Q3: I have DrakeYY installed. How can I view my converted client files there?

A3: Bring the converted DrakeXX client files forward into DrakeYY (Last Year Data > Update 20XX to 20YY). See Related Links below for help with this function. (Note: mass updating is not available in DrakeYY until the January release is installed.)

Q4: DrakeXX is installed, but I cannot find my client files there when I open the program. I have already repaired index files. What should I do?

A4: Take the following steps:

  1. Determine if the conversion was successful by comparing the number of files converted with the number you tried to convert (see Answer A1 3. above.)
  2. Confirm that the path used by the DrakeXX software to view files in the DT folder is correct. If not, correct the path.
    1. Log in as Admin to open the DrakeXX software and go to Setup > Data Locations.
    2. At the top of the screen, confirm that the Location for 20XX client files and Location for 20UU client files are both correct. The default paths are shown below. You must be logged into Drake as Admin to change paths.
      1. If you are unsure of the correct paths or how to modify the paths, contact Drake Software Conversions Support.
      2. Location for 20XX client files is determined by the selection in Tax returns are stored here.
      3. Location for 20UU client files is changed by direct entry (you must be logged into Drake as Admin to do this).
      4. Click OK to save any changes.

  1. If you still cannot view the converted client files, contact Drake Software Conversions Support at (828) 349-5546.

Q5: DrakeYY is installed, but I cannot find my client files there when I open the program. I already have updated in DrakeYY to bring the converted 20XX client files forward. What do I do?

A5: Take the following steps.

  1. Confirm that the DrakeXX paths to the 20XX and 20UU data are correct.
    1. Log in as Admin to open the DrakeYY software and go to Setup > Data Locations.
    2. At the top of the screen, confirm that the Location for 20YY client files and Location for 20XX client files are both correct. The default paths are shown below. You must be logged into Drake as Admin to change paths.
      1. If you are unsure of the correct paths or how to modify the paths, contact Drake Software Conversions Support.
      2. Location for 20YY client files is determined by the selection in Tax returns are stored here.
      3. Location for 20XX client files is changed by direct entry (you must be logged into Drake as Admin to do this).
      4. Click OK to save any changes.

  1. Confirm that the converted files exist in the DrakeXX folder from which you updated. See Answer A1 (3) above.
  2. If you still cannot view the converted client files, contact Drake Software Conversions Support at (828) 349-5546.

Q6: I converted a few files previously and entered data in them. Now I want to convert the rest of them. If I convert all files at once, will I overwrite the previously converted files in which I entered data?

A6: Yes. If you convert any client file into DrakeXX, you will overwrite any existing DrakeXX client file with the same SSN. In this situation, you may want to back up the previously converted files in which you have entered data so that you may restore them after the subsequent conversion.
