For steps on generating and e-filing current and prior year Forms 94x, see Related Links below.
The annual 94x forms cannot be transmitted until the 1st of January of the following year.
*Important: A Form 941/941-PR/941-SS cannot be e-filed before the end of the quarter. The IRS will reject a 941 that is e-filed before the end of a quarter:
- Quarter 1 ends March 31. Do not transmit before April 1.
- Quarter 2 ends June 30. Do not transmit before July 1.
- Quarter 3 ends September 30. Do not transmit before October 1.
- Quarter 4 ends December 31. Do not transmit before January 1.
If you attempt to transmit before the end of the reporting quarter, the software produces a message advising you that the form cannot be transmitted until the start of the following quarter. For example
"The 1st Quarter 94x forms cannot be transmitted until the 1st of April."
The message is disabled at the appropriate time to allow timely e-filing.
This prevents unnecessary IRS rejections and the need, which comes with an IRS rejection, to recreate the file for later timely transmission.
