17064: Quickly Generate Payment Methods (DAS)

Drake Accounting®: Can I create a template that will allow me to enter payment methods quickly?  

 

In Drake Accounting 2021 and after, under Financial > Payment Methods, there is an option to quickly generate payment methods. This can be done for all clients or for a specific client. This will create basic templates for the payment methods, but additional information may be required to be entered after you generate these methods in order to finish setting them up. These payment methods will have a red validator beside them on the Payment Methods screen if they require further setup information. See the screenshot below as an example of payment methods that have been created. As indicated by the red exclamation point, the last two require further setup.

You should always fully review the payment methods that you use to ensure that the information is accurate. This will also allow you to edit any information as needed. If a check design is restricted from a client, a payment method will not be made for that client.

Generating a Single Payment Method for All Clients

This will create a single new payment method for every client. This will take the check design that you select and use it in conjunction with the most recent payroll printed in last year’s software to create the payment method. It is recommended to check over the payment methods you create to ensure the information is accurate. This will also allow you to edit any information as needed.

To create payment methods for all clients:

  1. Go to Financial > Payment Methods.
  2. Click the Generate Methods link in the bottom right corner of the window.
  3. The existing check designs within the program display in the grid.
  4. You can either:
    • Select a single check design from the grid to create a payment method for and click Generate-All or
    • You can choose a single check design from the Generate-All Check Design drop down and click Generate-All.
      • If using this method, ensure that no other check designs are selected in the grid below.
  5. Click Exit, if the system does not close the window for you.
  6. Return to the Payment Methods screen and find your payment method in the grid that you just created. If you have multiple methods already created, it may be the last one listed. 
  7. Ensure that there are no red validators, and that the information entered is correct. Change and edit any information as needed.
  8. Click Save when finished.

Generating Multiple Payment Methods for a Single Client

This will create multiple payment methods for the currently active client only. It is recommended that you check over the payment methods you create to ensure the information is accurate. This will also allow you to edit any information as needed.

To create payment methods for a single client:

  1. Go to Financial > Payment Methods.
  2. Click the Generate Methods link in the bottom right corner of the window.
  3. The existing check designs within the program are listed in the grid.
  4. Select the check designs you wish to generate payment methods for.
  5. Select the Payroll Account and the Payables Account, if applicable.
  6. Click Generate-Client.
  7. Click Exit, if the system does not close the window for you.
  8. Return to the Payment Methods screen and find your payment methods in the grid that you just created.
  9. Ensure there are no red validators, and ensure the information entered is correct. Change and edit any information as needed.
  10. Click Save when finished.
