Reports - Basic Search Conditions



How do the basic search conditions work when running a report?
 
In Drake, you can further filter a custom or standard report by using basic search conditions.

Basic Search Conditions

The Basic Search Condition allows you to modify the most common filtering criteria. This option is accessed through other areas of the application, such as Report Manager, Last Year Data, and the Filter Manager.

Modify the Basic Search Condition

  1. Select the Return Types you want in the final report information.
  2. Select the Return Result you want in the final report information.
  3. Select the Activity.
  4. Select Preparer and Firm information.
  5. Select Allow Test/Sample Returns, if you want to include these items in your report.
  6. Select Ask about the Basic Search Condition each time the Filter is used, if you want this screen to alert you each time the filter is used.
  7. Click OK to save your changes.

Return Types

You can select one, multiple, or all return types.  To select an item, click the check box or tab to the item and press the spacebar on your keyboard. The return types meeting the selected conditions will be included in the search results.

  • All Return Types - Choose this option to select all return types available.
  • Corporation (1120) - Choose this option to select Corporation (1120) return types.
  • Tax Exempt (990) - Choose this option to select Tax Exempt (990) return types.
  • Individual (1040) - Choose this option to select Individual (1040) return types.
  • S Corporation (1120S) - Choose this option to select S Corporation (1120S) return types.
  • Estate Tax (706) - Choose this option to select Estate Tax (706) and Estate Tax (706A) return types.
  • Partnership (1065) - Choose this option to select Partnership (1065) return types.
  • Fiduciary (1041) - Choose this option to select Fiduciary (1041) return types.
  • Allow MFS 1040 Returns - Choose this option to Allow MFS 1040 Returns.

Return Result

You can select one, multiple, or all return results.  To select an item, click the check box or tab to the item and press the spacebar on your keyboard. The returns meeting the selected conditions will be included in the search results.

  • Any Result - Choose this option to select all return results.
  • Zero Due - Choose this option to select returns with zero due results.
  • Refund - Choose this option to select returns with refund due results.
  • Balance Due - Choose this option to select returns with balance due results.

Activity

You can select one, multiple, or all return results. To select an item, click the check box or tab to the item and press the spacebar on your keyboard. The activity meeting the selected conditions will be included in the search results.

  • Any Status Type - Choose this option to select all return activities.
  • Active Returns - Choose this option to select active (calculated) returns.
  • Inactive Returns - Choose this option to select inactive (non-calculated) returns.


Preparer and Firm Information

  • Select Preparers - Leave the default of All Preparers or select one from the drop list.
  • Select Firm - Leave the default of All Firms or select one from the drop list.

Note: If the client file has been password protected, the client will not show up in reports or labels by default. To allow these to show up, starting in Drake19, go to Setup > Options > Administrative Options tab and check the box Include password protected returns in reports (Admin Only)
