Drake Tax - Change or Reset Multi-Factor Authentication

If a preparer loses or changes their mobile device, MFA will need to be disabled, and then re-enabled and configured with the new device. The process varies depending on which preparer is affected and whether or not they still have access to the old MFA device.

Note  MFA is enabled by default for all preparers starting with Drake Tax 2021. See Drake Tax – Multi-Factor Authentication Setup for details on MFA setup.

The Admin opt-out selection during their initial login only applies to the ADMIN account. If MFA does not need to be configured for other preparers, the ADMIN must go to Setup > Preparers and Users to opt other preparers out of MFA. MFA can be disabled for all user or select users, depending on office needs.

Preparer MFA Change or Reset

If a non-admin user or preparer needs to change their MFA Device, the person in the office who can log in with the username “ADMIN” for the software must do the following:

  1. Open and log in to Drake Tax as the ADMIN user.

  2. Go to Setup > Preparers and Users.

  3. Choose the preparer from the list and click Edit User.

  4. Check the box Disable Multi-Factor Authentication (MFA) under the Login Information section.

  5. A pop-up box verifies that you want to disable MFA for the specified user. Click Yes.

  6. Another box shows alerting you that MFA was disabled. Click OK.

  7. Click Save on the User Setup window for this user.

  8. If you want to prompt the preparer to configure MFA on a new device, edit the preparer and uncheck the box Disable Multi-Factor Authentication (MFA) under the Login Information section. Click Yes and OKon the pop-ups, and then Save on the User Setup window.

    • This will re-enable MFA and the user/preparer will be prompted to complete setup the next time they login.

    • If you skip this step as the ADMIN, the user/preparer can still enable MFA for their own login by going to Setup > Preparers and Users after they log back in.​

Admin MFA Change or Reset

If the admin is changing their own MFA device, and still has access to the old device, they will:

  1. Open and log in to Drake Tax with their username and password.

  2. Authenticate the login using the old MFA device.

  3. Go to Setup > Preparers and Users.

  4. Choose their name from the list and select Edit User.

  5. Check the box Disable Multi-Factor Authentication (MFA)under the Login Information section.

  6. Click Save.

  7. Re-open Setup > Preparers and Users.

  8. Choose their name from the list and select Edit Preparer.

  9. Uncheck Disable Multi-Factor Authentication (MFA) under the Login Information section.

  10. Click Yeson the pop-up that says, Would you like to Enable Multi-Factor Authentication (MFA) for ___?

  11. Complete MFA setup using the new device.

If the admin is changing their MFA device and does not have access to old device, they will:

  1. Open Drake Tax and enter ADMIN as the Username.

  2. Click Password help.

  3. Click Online password recovery.

  4. A browser window opens that says Software Admin Password Recovery.

  5. Click Sign in to be redirected to the SSO login page.

  6. Login to the Support website using your SSO credentials.

  7. Select the appropriate year of Drake Tax in the drop list.

  8. Click Submit.

  9. A password recovery code is displayed on the screen. That code must be used as the password for the username ADMIN.

    • The code expires in 1 hour.

  10. In Drake Tax, enter ADMINas the username and the recovery code as the password.

  11. You are prompted to set up a new password. If you select yes, set up a new password and security question. You can choose to opt out of enabling MFA during the password setup. This selection only applies to the ADMIN account. Verify settings on Setup > Preparers and Users before logging back out..

    Important  If you select no, you are logged in with the old password, but MFA is still enabled.

    1. Go to Setup > Preparers and Users.

    2. Check the box Disable Multi-Factor Authentication (MFA) under the Login Information section.

    3. Click Yes, to disable MFA.

    4. Uncheck the box Disable Multi-Factor Authentication (MFA) under the Login Information section.

    5. You are prompted to set up MFA on the new device.

    6. Press Save.
