Drake Accounting - Firm - User Setup Options

When setting up a User in Drake Accounting, there are several additional options that can be selected or changed on a per-user basis. These options vary depending on the type of user that is indicated and who is logged in.

Owner Options Tab (Shown for Owner ONLY)

  • Advance Security Options

    • Use Multi-Factor Authentication when logging in - enables multi-factor security authentication using hardware (YubiKey) or application based authentication.

  • Password Reset Frequency

    • Choose the number of days after which a password must be reset.

      • 120 days is the default.

      • A 10-day warning is shown before the password is set to expire.

      • This is a global option that applies to all users.

  • Logon Image

    • Allows for the Company Logo, or any Logo, to be displayed at the login screen.

    • Choose the red X to revert the image to the default Drake Accounting image.

  • CoA Fixes These options are designed to help you correct errors that were created in CoA by either using Accounting Update Prior Year several times, or by skipping the Year End Close and moving the SOY date manually.

    Caution  Make a backup, then contact DAS Support at (828) 349-5908 before using these options.

    • Clear Prior Year Data - Fixes duplicate transactions when the Accounting Update Prior Year function has been used several times.

    • CoA Rebuild - Corrects duplicate tabs and/or "User Entered" values caused by manually changing the SOY date or missing a Year End Close.

  • Signature Repair - Use this option if the original electronic signatures are not being displayed on reprinted Employee or Vendor checks.

Options Tab

  • Appearance

    • Mask Client IDs - hide part of the client (Federal) ID number to ensure confidentiality of Personally Identifying Information (PII).

    • Alternative Desktop View - enables icons on the homepage instead of the default client selector screen.

      • Remember Tree View Visibility on Close - the software will remember the hide/show tree option after closing.

    • Client Health View​ - Set the Client Health View as the default view for the specified user when opening DAS.

    • Show Patch notes After Updating - Release Notes will automatically display for review after updates are installed.

  • Tooltip Delay

    • Choose the number of seconds in the drop list. This option sets the number of seconds during which a tooltip appears. It is initially set to 5 seconds.

  • Report Listing

    • Alphabetize Report Listing - toggles the sort order of report listings alphabetically.

  • Portal Syncing (Shown for Owner or Administrator ONLY, can be selected by owner or admin for any user)

    • Restrict Portal Syncing - when enabled, the user is unable to select Sync Now or Force Sync under Firm > Portal Setup. If the user goes to Firm > Portal Setup, they will see a blue (i) that indicates this restriction on the relevant options.

  • Check Printers (override)

    • Click the drop down icon to the right of the printer text box to select your check printer.

    • MICR Printer - Assign the default printer used to print MICR checks.

      • MICR check printing requires a high quality laser printer using MICR toner.

      • If using blank (not pre-printed) MICR check stock to print payroll or vendor checks, specify your MICR printer.

    • Pre-Printed Printer - Assign the default printer used to print pre-printed checks.

      • Pre-printed refers to check formats that have many informational fields already printed on the check stock. ​

  • Print Preview

    • ​​Preview Checks, Invoices, and Report Sets​ - Check this option to have the ​Print Preview ​options automatically selected when viewing checks, invoices, and report sets.

  • Blank Checks

    • Enable blank check printing - Check this option to enable the ability to print blank checks under Payables > Quick Payments. To have this selection applied to other user types, an Owner must click on the user in User Setup and enable the option for them.

  • Letters

    • Alphabetize Node Data - checking this option will alphabetize the options under the Firm, Client, Date Time, and Page nodes on the Letters screen (Firm > Letters).

  • State Rates

    • Default to Active Client for State Rates - Checking this option will have the current (active) client automatically selected in the Client drop down menu on the State Setup module under Rates & Withholding Setup.

Journal Options Tab

Most of these options were under Accounting > Options in DAS18, however, these options have been moved starting in DAS19 to allow each user to select their own Journal options.

  • Journal Screen Options

    • Insert Debit/Credit Decimal Automatically

    • Prefill Offsetting Entry Amounts Automatically

    • Tab Between Fields Using Enter Key

    • Display Account Name In Front

    • Hide Inactive Accounts

  • Posting Transactions (Shown for Owner ONLY)

    • Disallow posting in the Journal Screen - prevents the posting of unposted transactions to the posted transactions screen.

  • Journal Screen Columns Setting

    • Select to use the default setting, skip when tabbing, or hide the following columns:

      • Type

      • Date

      • Entity

      • Description

      • Reference

      • Division

  • User Restrictions

    • Disallow posting in the Journal Screen

    • Disallow unreconciling transactions

    • Disallow deleting bank reconciliations

Preparer Information tab

If Preparer was selected on the User Setup tab, continue to this tab to set up the Preparer information. Setting up preparers (previously Paid Preparer Setup in prior-year Drake Accounting) to sign state tax forms and 94x series tax returns has been moved to User Setup. Complete this tab to have the Paid Preparers Use Only section automatically prefill on the applicable state form or 94x return.

Preparer Options tab

If Preparer was selected on the User Setup tab, continue to the Preparer Options tab.

  • Third Party Designee

    • Allow Third Party Designee - This option authorizes the IRS to talk to the designee about 94x returns. The Designee Name, Phone, and PIN fields become active when this option is selected.

    • Designee Name/Designee Phone - Enter the designee's name and daytime phone number.

    • Designee PIN - Enter a 5-digit, self-selected PIN for the Third Party Designee.

  • State Information

    • Maine License Number - Enter the Maine License Number for the preparer, if applicable.

    • NYTPRIN - Enter the NYTPRIN for the preparer, if applicable. If exempt, see below for selecting the exclusion code.

    • NY Exclusion Code​ - choose the appropriate code from the drop list.

Health Options tab

If you are using the Client Health View, you have the option to include certain tabs, even if you do not have any data for them.
