If box 12 of Form W-2 is not populating correctly when creating a W-2 from Employees or OTF, perform the following steps:

Note  If you are working on Forms W-2 through the OTF menu, you must use the manual process described in step 5 to repair affected W-2s.

  1. Go to Employees > Federal Forms. From the Form drop list, select W-2.

  2. Under Selection and Options, click Repair Box 12 Codes.

  3. A pop-up is displayed, summarizing the repair process. Click Yes to repair the files.

  4. The program will attempt to perform the repair. A pop-up will display informing you if the repair was successful. If successful, check the employee's W-3 to ensure that the information carried over properly.

  5. If the repair was not successful (or if correcting on-the-fly Forms W-2), you must manually delete the files. From the grid, select the applicable employees, and click Delete > Process.
